New Feature: Employee Notes for Quick Storage & Retrieval of Info

Team Engine users can now save, track & easily recall information about employees directly on their profile in the Employee Directory. This allows for improved follow-through on needed actions, as well as provides context for future conversations and interactions with the employee.

Examples of Ways to Use Notes on Employee Profiles

There are a plethora of ways this feature can be used, depending on the needs and norms of the organization. Here are some examples of the types of notes our customers are keeping on their employees:

1. Record context that could be valuable to you or another team member in the future, such as:

  • The employee’s kids’ names, significant others’ name, or other family-orientated information
  • Things about the employee’s external environment you may want to keep in mind, such as how they commute or that they work a 2nd part-time job on the weekend
  • Log the date & content of conversations had with the employee, such as one-one-ones with their manager or disciplinary actions taken
  • Keep track of when raises are given and at what amount

2. Date-sensitive reminders for a future action you need to take, such as:

  • Dates for performance reviews & what to discuss at them
  • Licenses & certifications the employee holds + their renewal dates, if applicable (e.g. DOT medical card)

Why This Matters

Taking an active interest in employees and remembering to ask if they’re training for the mini-marathon again, or how their kid is doing in softball this year, goes a long way in building trust and rapport. Similarly, always being conscious of the fact that someone commutes by bus, or drops their kids off at school on the way to work, demonstrates genuine care. All these things quickly add up to a solid foundation built on mutual respect—which means they’re a lot more invested and likely to stick around in the long run.

From there, consistently following up on discussions and commitments sends a couple of signals to the employee. One, it sets the expectation that everyone will be held accountable. And two, it builds credibility, because they know you can be counted on to do what you say.

How To Use Employee Notes in Team Engine

Create a new note from scratch

  1. Navigate to the Employee Directory
  2. Search for the employee and click their name to open their record
  3. Click the “Notes” icon at the top
  4. Type your note
  5. Click “Add” to save

Create a templated note

To standardize the way information is captured and formatted, you can also create templates for employee notes. (If you're already a Team Engine user, this is identical to templated notes on applicant profiles.)

To create a new notes template:

  1. Navigate to the Employee Directory
  2. Search for the employee and click their name to open their record
  3. Click the “Notes” icon at the top
  4. Click the "Add Note Template +" button below the compose box.
  5. Draft or paste your template
  6. Click "Save Message"

To use a notes template:

  1. Navigate to the Employee Directory
  2. Search for the employee and click their name to open their record
  3. Click the “Notes” icon at the top
  4. Click the "Use" button to the right of the template you'd like to use
  5. Fill in details as needed in the compose box
  6. Click “Add” to save
